Most Indian photography studios are run from three places: a diary, a WhatsApp chat list and the owner's memory. It works until the season gets busy. Then an enquiry from Instagram gets missed, an advance is recorded in one notebook and the balance in another, two shoots end up on the same date, and nobody can say how much money is still to come in this month. Photography studio management software exists to fix exactly that, but a lot of it is built for Western studios and does not fit how weddings are sold and paid for in India.
This guide explains what studio management software should do for an Indian wedding studio, what to check before you choose one, and how RAIMO handles it, including what it does not do yet.
What photography studio management software should do
Strip away the feature lists and a studio needs software to answer five questions quickly:
- Who has enquired, and who needs a call back today?
- Which dates are booked, and which are free?
- Who owes how much, and when is it due?
- Who is shooting what, where, and when do they need to be there?
- Where are this client's photos, album and selection?
If a tool answers those five without you opening a spreadsheet, it is doing its job. Everything else is a bonus.
The Indian studio checklist
Software designed for US or European studios often assumes card payments, signed contracts by email and one-day weddings. Indian weddings work differently. Check for these:
- Multi-function bookings. One wedding can mean haldi, mehendi, sangeet, pheras and reception across three days and two cities.
- Advance and instalments. Most studios take a booking advance, a second payment near the wedding, and the balance on delivery. The software should track planned and received instalments, not just "paid" or "unpaid".
- UPI, not only cards. Clients pay by UPI and bank transfer. The software should make it easy for them to pay you directly.
- WhatsApp-friendly. Reminders and links should be easy to send on WhatsApp, because that is where your clients read messages.
- Phone numbers as identity. A client who enquires from your website, books on the phone and chats on WhatsApp should be one client, not three.
- Team access. Second shooters, editors and album designers need access to their part of the work, not your earnings.
- Rupees and Indian dates throughout.
Leads and enquiries: stop losing bookings
The most expensive mistake in a studio is an enquiry nobody replied to. On RAIMO, enquiries from your studio website land in one list, whatever form they came from: the booking form, the contact form, or visitors who signed up while viewing an album. Each lead shows the dates and services they asked for.
You can set a follow-up date on any lead. Your dashboard then tells you each day how many leads need a follow-up today and how many new enquiries have not been contacted at all. That one reminder is often worth more than every other feature put together.
A client is recognised by their phone number, so the same person enquiring twice, or booking again for a sibling's wedding, stays one client with their full history: bookings, functions, photo selections and payments in one place.
Bookings, dates and availability
When a lead becomes a booking, you record the event dates, the package, the agreed amount and the advance. Your packages and add-ons live in the same system as your website, so the prices clients see online and the prices you book at stay the same.
A date availability calendar lets you mark which days of the week you work and block dates you are booked or away. Couples can check your free dates on your website before they enquire, which means fewer "are you free on the 14th?" messages for dates you are already taken.
For each function, you can prepare an itinerary and call sheet: call times, crew and gear for every day of the wedding, ready to print or send on WhatsApp to your team.
Payments: advances, instalments and reminders
This is where most studios lose track, and where it matters most.
- Instalments: add planned instalments to a booking (advance, pre-wedding, on delivery) and mark each one received when the money arrives.
- Outstanding at a glance: see collected, agreed and outstanding amounts across the studio, with a chart of the month.
- UPI payment links: send a client a UPI link for the balance on a booking, opened straight in WhatsApp, so they pay from their UPI app into your account.
- Reminders on WhatsApp: for any instalment, RAIMO prepares a polite reminder in your studio's name with the amount, the due date and your UPI ID, ready to send on WhatsApp with one tap.
- Payment before download: for a client photo selection, you can set a price and require payment before downloads open. The client pays your bank directly by UPI and enters the reference; downloads open only after you confirm the money has arrived. RAIMO never holds your money.

Team, delivery and the rest of the studio
- Team roles and permissions: invite second shooters, editors and designers with their own login, and choose what each can see and do. Your editor does not need to see your earnings.
- Delivery in the same place: guest photo delivery with face search, digital albums with couple approval, and client photo selection all link back to the client and booking. See digital wedding album design approval.
- Your website: the same login runs your studio website, so enquiries flow straight into leads. Our guide to a photographer website builder that gets bookings covers the website side.
- On your phone: the RAIMO Android app lets you check the dashboard, add and update bookings, see leads and earnings, and approve guest photos away from your desk.
- Studio analytics: see who found your site, what they asked for, and what guests took away from your galleries.
What RAIMO does not do yet
Being clear about this helps you decide:
- No GST invoicing (use your accounting tool).
- No client portal yet; it is planned. Clients use the links you send for their album, selection and gallery.
- WhatsApp reminders are prepared for you to send, not sent automatically. Automatic WhatsApp delivery is planned.
- No contract e-signing. You can print a simple booking contract from a booking's details, but signatures happen on paper or in your usual tool.
